How responsibilities reach employees
You never assign a responsibility directly to an employee. Responsibilities travel through your organizational structure:1
Attach the responsibility to a role, or directly to a position
Use a role when a group of responsibilities is shared by several positions. Attach directly to a position when the responsibility belongs to that position only.
2
Attach the role to a position
Skip this step if you attached the responsibility directly to the position.
3
Assign an employee to the position
Responsibility lifecycle
Each responsibility has a status that controls whether it affects employees and which actions you can take.Add a responsibility

Responsibility actions
All actions are in the three-dot menu (⋯) on the right side of the responsibility’s row in the catalog.Activate
Moves the responsibility from Draft to Active. Employees can then inherit it through their roles, and their Readiness for it starts being tracked.Rename
Updates the name everywhere it appears in your account: all roles, positions, and employee views. No assignments are affected.Attach to a role
Connects the responsibility to a role. This is how employees eventually receive it: the responsibility travels through the role to any positions the role is attached to, and from there to the employees assigned to those positions.Retire
Removes the responsibility from all active assignments. Employees who held it lose it from their profile, and any Current badges for it expire overnight. Badge history is preserved. The responsibility stays attached to its roles; attachments aren’t removed.Reactivate
Returns a Retired responsibility to Active. Employees don’t get it back instantly: new assignments regenerate through the normal position and role chain.Delete
Permanently deletes the responsibility. This is only available in Draft. Once a responsibility has been activated it can’t be deleted, only retired.Rules and constraints
- Responsibilities must be Active to affect employees. Draft and Retired responsibilities don’t flow through to anyone.
- Responsibilities reach employees through roles or by being attached directly to a position. You can’t assign one directly to an employee.
- The same responsibility can be attached to any number of roles.
- Retiring a responsibility removes employee assignments but leaves role attachments intact.
- You can only delete a responsibility while it’s in Draft.
Common questions
Why can't employees see a responsibility I just created?
Why can't employees see a responsibility I just created?
A new responsibility starts in Draft and isn’t attached to any role yet. Activate it, then attach it to a role that’s on a position your employees hold, or directly to that position. You need both steps: activating alone won’t make it visible if it isn’t attached to a position your employees hold.
What happens to employee badges when I retire a responsibility?
What happens to employee badges when I retire a responsibility?
All Current badges for that responsibility expire overnight, and employees lose the Readiness contribution from those badges the following day. Badge history is preserved, so you can still see what was earned, but it no longer counts toward their score.
Can the same responsibility be in multiple roles?
Can the same responsibility be in multiple roles?
Yes, responsibilities are designed to be reused. If “Fire Safety Compliance” belongs in three roles, attach it to all three. If an employee gets the same responsibility through more than one role on the same position, they receive it once for each role. Each role generates its own independent assignment.
