An account user is a person who can sign in to an exIQtive account. Each account user is identified by a unique email address, and one person can use the same email to access more than one account. You manage account users at Account → Settings → Users. Only Owners and Co-Owners see this menu.

Users and employees are separate

An Employee is an HR record: a person with a name, a Position, Roles, and Responsibilities. An account user is a login: an email address that can sign in and use the platform. The two are connected when you give an Employee access to the portal. Until then:
  • The Employee exists in the system but can’t log in
  • The account user can log in but holds no Position or Responsibilities
Not every Employee needs a login, and not every account user needs to be an Employee (for example, an external consultant who administers the account).

Account user status

Each account user’s status shows where they are in the access lifecycle. It comes from the user’s global state and whether their access to this specific account has been suspended. While an invitation is in flight, exIQtive also tracks its delivery: sent, delivered, opened, clicked, failed, or bounced. Use this to work out why someone hasn’t signed up yet.

Permissions

Every account user has one of three admin permission levels, or none. For the full breakdown, see Account roles and permissions.

What each permission sees in the side menu

Add a new account user

1

Open Users

Go to Account → Settings → Users.
2

Start a new user

Click + Add User and enter the person’s email address.
3

Enter their name if needed

If the email isn’t already in the system, enter their first and last name. If it is, this step is skipped and the existing name is shown for you to confirm.
4

Choose a permission level

Pick the permission level for this user.
5

Confirm

Confirm to send the invitation email automatically.
The new user starts as Invited and becomes Has Access once they click the invitation link and set a password.

Give an Employee access to the portal

Giving an Employee access links their Employee record to a login. That’s what lets them see Your Stuff: their Responsibilities, Readiness score, badges, and preparation materials. In Organization → Employees, use the Give Access action on the Employee’s row. You’ll be asked for an email address and an access type:
  • Employee Portal only: no admin permission. The Employee sees only Your Stuff and Ask IQ.
  • Co-Owner: Co-Owner permission. The Employee also gets full admin access.
If the email already belongs to another Employee, or to a Blocked user, you’ll see a warning before you continue.

Account user actions

All actions are in the three-dot menu (⋯) at the right of the user’s row in Settings → Users.
Available when the status is Invited. Sends a new invitation to the same address. Use it if the original was missed, went to spam, or expired.
Available when the status is Has Access. Immediately stops the user logging in to this account. Their permission level is kept, so if you restore access they return with the same permissions. The Owner can’t be suspended; transfer ownership first.
Available when the status is Suspended. Lets the user log in again. Only available if any linked Employee is Active (not Terminated or Archived), or there’s no linked Employee.
Available only on the Owner’s row, and only the Owner can do it. Moves the Owner role to another account user. The previous Owner becomes a Co-Owner.
Changes the login email while keeping the same access record and history. Both the old and new addresses get a notification. Available to Owners and Co-Owners on most users; Co-Owners can only change their own email.
Updates the display name. Only available when the user isn’t linked to an Employee and has access to just this one account. If the user is linked to an Employee, update the name on the Employee record instead.
Changes the permission level (None, Administrator, Co-Owner). A user with no Employee link can’t be changed to None.
Permanently deletes the user. Only available while the status is Invited (they never signed up). After someone signs up, they can only be suspended.

Close an account

To close an account, please contact support@exiqtive.com.

When an Employee is terminated

When you terminate an Employee, their linked account user access is suspended automatically at the same time, so they lose portal access without a separate step. If the termination was a mistake, reactivate the Employee first, then restore access.

Common questions

An Employee is a person in your organization with a Position, Roles, and Responsibilities. An account user is a login with access to the account. They’re connected when you give an Employee portal access. An Employee without access can’t log in; an account user without an Employee link has no Responsibilities and no Your Stuff menu.
Suspended means an Owner or Co-Owner removed this person’s access to your account, and you can restore it any time. Blocked means the exIQtive system administrator blocked the email across all accounts. You can’t resolve Blocked from your account; contact support.
Restore requires the linked Employee to be Active. If the Employee is Terminated or Archived, reactivate them first, then restore access.
Rename only works when the user has no linked Employee and access to only one account. If they’re linked to an Employee, update the Employee record. If they have access to several accounts, a rename would affect all of them, so contact support.
If the email belongs to a user already linked to another Employee, you’ll see a warning. If it belongs to a user with no Employee link, exIQtive links them to the Employee without creating a new user or re-sending an invite.
Owners, Co-Owners, and Administrators. Users with no admin permission can’t.
