# Positions

> Create, activate, and manage positions, attach roles, and assign employees in exIQtive.

A **Position** represents a job in your organization, such as *HR Manager*, *Team Leader*, or *Finance Director*. Positions are the bridge between people and work: employees are assigned to positions, and through those positions they inherit roles and responsibilities.

Positions control:

* Which responsibilities an employee receives
* How work is allocated (FTE, availability, vacancy)
* How readiness is measured

For the underlying definitions, see [Key organizational concepts](/concepts/organization).

## How positions work

Positions sit at the center of the exIQtive structure:

**Employee → Position → Role → Responsibility → Checkpoints → Readiness**

In practice:

1. A position is created and activated.
2. One or more roles are attached to the position, and responsibilities can also be attached to it directly.
3. Each role contains responsibilities.
4. An employee is assigned to the position.
5. The employee automatically receives every responsibility linked to that position.

This keeps things consistent and avoids manual, one-off assignments.

## Position lifecycle

**Draft → Active → Retired → Archived**

| Status | What it means | What you can do |
| - | - | - |
| **Draft** | Newly created and not yet in use. Can't be assigned to employees. | Rename, Attach Roles, Delete, Activate |
| **Active** | Live and operational. | Assign Employees, Attach or manage Roles, Rename, Retire |
| **Retired** | Removed from active use. Existing assignments are retired and data is preserved. Can't be assigned. | Rename, Attach Roles, Reactivate, Archive |
| **Archived** | Stored for historical reference only. Can't be assigned. | Unarchive (returns the position to Retired) |

## Add a new position

<Steps>
  <Step title="Open Positions">
    Go to **Organization → Positions**.
  </Step>

  <Step title="Add the position">
    Click **Add Position** and enter the position name.
  </Step>

  <Step title="Save">
    Click **Save**.
  </Step>
</Steps>

The position is created in **Draft**. While in Draft it can't be assigned to employees.

## Position actions

All actions are in the three-dot menu on the right side of the position row.

### Activate

Available in Draft. Moves the position to Active so it can be assigned to employees and used to distribute responsibilities. An Active position can't go back to Draft.

### Rename

Available at all times. Updates the position name everywhere it's used. No assignments are affected.

### Attach Role

Available at all times. Opens a dialog to attach an existing Role, or to create a new Role and attach it. A position needs at least one Role to distribute responsibilities to employees. See [Attach roles to positions](#attach-roles-to-positions) below.

### Retire

Available when Active. Removes the position from active use and retires all current employee assignments.

### Reactivate

Available when Retired. Returns the position to Active so it can be assigned again.

### Archive

Available when Retired. Moves the position into long-term storage. Archived positions can't be assigned.

### Unarchive

Available when Archived. Returns the position to Retired. From there you can reactivate it.

### Clone

Available at all times. Creates a new position with the same roles attached and no employees assigned. Handy when you need several similar positions.

### Delete

Available only in Draft. Permanently deletes the position.

<Warning>
  Deleting a position can't be undone.
</Warning>

## Attach roles to positions

A position needs at least one Role attached before it can distribute responsibilities to employees.

### See how many roles are attached

The Positions table shows how many Roles are attached to each position. A position with zero roles can't give any responsibilities to its employee.

### Open a position to manage roles

### Attach an existing role

### Create a new role and attach it

### View responsibilities under a role

## Attach responsibilities directly to positions

When a responsibility belongs to only one position, you can attach it directly instead of going through a role. Employees assigned to the position receive it the same way.

<Steps>
  <Step title="Open the position">
    Open the position you want to update.
  </Step>

  <Step title="Find the Responsibilities section">
    Go to the position's **Responsibilities** section.
  </Step>

  <Step title="Add the responsibility">
    Select **Add Responsibility** and enter the responsibility's name.
  </Step>

  <Step title="Save">
    Save your changes. The responsibility is now attached to the position and visible in its details.
  </Step>
</Steps>

<Note>
  If a responsibility is already carried by one of the position's active roles, the direct attachment is marked **Redundant**. Nothing is removed automatically; remove whichever one you don't need.
</Note>

## Assign employees to positions

Each employee holds **one Primary Position** at a time. For full assignment rules and FTE matching, see [Employee/position assignments](/organization/employee-position-assignments).

<Steps>
  <Step title="Find the employee">
    Find the employee in **Organization → Employees**.
  </Step>

  <Step title="Start the assignment">
    Click **Assign to Primary**.
  </Step>

  <Step title="Pick a position">
    Select a vacant position. Only positions with enough vacancy are shown.
  </Step>

  <Step title="Confirm">
    Confirm the assignment.
  </Step>
</Steps>

An employee can be assigned to a position only when:

* The employee has availability
* The position has enough vacancy
* The employee isn't an External Helper
* The employee doesn't already occupy another Primary Position

## Rules and constraints

* A position must be **Active** to assign employees.
* An employee can have **only one Primary Position**.
* External Helpers (0 FTE) can't occupy positions.
* Positions distribute responsibilities through their attached roles and through responsibilities attached directly to the position.
* Deleting a position is permanent and only possible in Draft.
